These Terms and Conditions govern your use of the SevQR website and services, and by accessing or using any part of our platform, you agree to be legally bound by these provisions. Definitions

For the purposes of these Terms and Conditions: “User” refers to any individual who is a registered member of a team on the SevQR platform. “Public” denotes any unregistered visitor or any individual accessing the public‐facing page. “Team” is defined as the group created and managed by a registered User, including all associated data and configurations. “Files and/or Media” refers to any digital content uploaded by Users, including but not limited to images, documents, and other files.

Registration, Fees and Account Creation

Registration on the SevQR platform is subject to a fee, which grants you full access to the available services. By registering, you agree to pay the applicable fees as indicated on our website and accept responsibility for ensuring the accuracy of the information provided. Upon successful registration, you will be granted the ability to create your own team, upload a team logo, and manage your account. Team administrators are authorized to invite additional Users; each invitation will establish a new account that is governed by the present terms.

Team Management and User Roles

As a Team Administrator, you are responsible for managing your team and ensuring that all members adhere to these Terms and Conditions. Team Administrators can configure team settings including, but not limited to, custom colour schemes and interface elements such as popups with external links. In addition, users are assigned access-based roles, which may restrict or permit specific functionalities on the platform. It is your obligation to manage team invitations and the roles assigned to Users in a manner that safeguards the integrity of your team’s operations.

Upload and Handling of Content

The SevQR platform allows Users to upload images, files, and other digital content pertinent to various records within the system. Uploaded content may be processed, stored, and managed on external cloud providers, and you hereby grant us a limited license to use and display your uploaded content in relation to the functioning of our service. You agree that you have all necessary rights to any content you submit and that such submissions do not infringe upon the rights of any third party.

You are solely responsible for the content you upload, and we reserve the right to remove any content that violates these Terms and Conditions or is otherwise objectionable. We do not endorse any content uploaded by Users and disclaim all liability for any such content. SevQR’s platform is not intended for the storage of files unrelated to the SevQR service, for example, using our storage for personal Files or Media. We do not provide any guarantees regarding the availability, security, or integrity of any content uploaded to our platform. You are responsible for maintaining backups of any important Files or Media, and we recommend that you do not rely solely on our platform for the storage of critical data.

Any Files or Media uploaded which are questionable in nature, or which may be considered illegal, obscene, or otherwise inappropriate, will be removed from the SevQR platform. We reserve the right to take appropriate action, including reporting such content to the relevant authorities. You agree to indemnify and hold SevQR harmless from any claims arising from the content you upload.

Public Facing Interface and Record Access

In order to facilitate a seamless interaction between Teams and end-users, the SevQR platform provides a public facing page. On this page, members of the Public are able to enter two specific unique numbers which grant access to information regarding certain records. The Public may validate these unique identifiers, view associated record information, view associated Files and Media, and raise requests.

Files or Media associated with these records may be made available for download, and you acknowledge that any information shared through this public interface is at your own risk. Although we implement measures to ensure Files or Media is only accessible to the intended audience, we cannot guarantee the security of any Files or Media uploaded to our platform. Files and Media is accessible to both the Public and the Team, and you agree that SevQR is not liable for any unauthorised access or misuse of such information.

Workflow Management and Request Handling

Records on SevQR may be assigned to various workflows that enable automated functionalities, including the dispatch of emails to designated addresses when a request is initiated. Each request, together with any corresponding data, is stored against the relevant Team and record, and serves as a basis for audit trails and other operational actions. By using these services, you agree that such workflow activities are an integral part of the platform and consent to their execution.

You are responsible for ensuring that recepients of any emails or notifications are aware of the nature of the information being shared and that they consent to receive such communications. SevQR is not liable for any issues arising from the use of these automated features, including but not limited to misdirected emails, incorrect data handling, or any other operational errors.

Intellectual Property Rights

All intellectual property rights, including but not limited to text, design, graphics, logos, and proprietary software contained on this website, are owned by SevQR or its licensors. These rights are protected by intellectual property laws both in the United Kingdom and internationally. Any unauthorised use, reproduction, or distribution of any material from this site is strictly prohibited without prior written consent from SevQR.

Files, media or Team logos uploaded to the SevQR platform remain the property of the respective User or Team. By uploading content, you grant SevQR a non-exclusive, royalty-free, worldwide license to use, reproduce, modify, publish, and distribute such content solely for the purpose of providing the SevQR services. We do not assume partnership, association, or joint venture status with any User or Team by virtue of the content uploaded.

Files or Media uploaded to SevQR may also be accessed by other Team members within the Team it was associated with, without restriction. You are responsible for ensuring that any content you upload does not infringe upon the rights of any third party, including but not limited to copyright, trademark, or privacy rights.

Data Protection and Privacy

We are committed to protecting your privacy and handling your personal data in accordance with applicable UK data protection legislation, including the Data Protection Act 2018 and the General Data Protection Regulation (GDPR). Our Privacy Policy, which forms an integral part of these Terms and Conditions, outlines in detail how your information is collected, stored, processed, and transferred. By using our platform, you expressly agree to such data practices and acknowledge that you have read and understood our Privacy Policy.

User Obligations and Restrictions

We may suspend access temporarily to Public Pages which appear to be ‘under attack’ or are being used in a manner that is inconsistent with these Terms and Conditions whilst we investigate the issue. We reserve the right to terminate your account and access to the SevQR platform if we determine that you have violated these Terms and Conditions.

Limitation of Liability and Indemnification

To the fullest extent permitted by law, SevQR and its affiliates shall not be held liable for any direct, indirect, incidental, special, or consequential damages that result from the use or inability to use our platform.
